Position Summary:
Overall Responsibilities: The Clinic Services Assistant will provide a range of duties associated with administrative and clinical services pertaining to patients. This position will report directly to the Clinic Services Director and play a key role in ensuring efficient clinic operations and high-quality patient care.
Accountability: Accountable to and receive directions from the Clinic Services Director.
Essential Functions
• Maintains patient stability by checking vital signs and weight, testing urine, and recording intake and output information, as needed.
• Documents actions by completing forms, reports, logs, and records accurately and promptly.
• Maintains work operations by following policies and procedures.
• Protects the organization’s value by always keeping patient information confidential.
• Serves and protects the organization by adhering to professional standards, policies, and procedures; federal, state, and local requirements.
• Collects and compiles statistics to facilitate report preparation.
• Aids the Clinic Services Director and performs other job-related duties as assigned. Rev. 6/25/2025 RP Data Management & Reporting
• Manages clinic data by accurately entering, updating, and maintaining patient and clinic information in electronic databases and spreadsheets.
• Prepares and analyzes reports using data collected from various sources to support clinic operations and decision-making.
• Utilizes Microsoft Excel to organize, format, and analyze data, including creating and maintaining spreadsheets, performing calculations, generating charts, and summarizing key metrics.
• Ensures data integrity by regularly auditing records for accuracy and completeness.
• Collaborates with the Clinic Services Director to develop and improve reporting processes, ensuring timely and actionable insights for clinic leadership.
• Assists in the preparation of monthly, quarterly, and annual reports as required by the clinic or regulatory agencies.

Skills and Knowledge Required
• Proven successful history as a nurse in medical practice.
• Attention to detail, productivity, and accuracy.
• Excellent interpersonal, verbal, and written communication skills.
• Ability to prioritize work, problem-solve, and adapt quickly to emergent situations and complete projects within deadlines.
• Proficiency in operating personal computers and learning new applications and systems.
• Advanced skills in Microsoft Office, especially Excel, with experience in data entry and spreadsheet management, required.

• Strong commitment to the mission and goals of the Virginia B. Andes Volunteer Community Clinic, Inc. Education and Experience
• High school diploma or equivalent, required.
• Certification with accredited RN training licensure through the State of Florida and current certification through American Heart Association in Basic Life Support, required.
• 2 years of nursing experience preferred. • Knowledge of relevant nursing care.
• Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook & EMR).
Salary Commensurate with education and experience. The position is part-time, 20-hour work week, non-exempt position.
Manager of Volunteers and Emergency Preparedness

Position Summary:
The Manager of Volunteers and Emergency Preparedness is a critical management role at the Virginia B. Andes Volunteer Community Clinic, Inc. (VBA). This part-time, non-exempt position is responsible for coordinating a vibrant volunteer program and leading the emergency preparedness plan efforts. The role ensures that VBA maintains strong community support through volunteer recruitment and remains operationally prepared in the event of emergencies or disasters. This position reports directly to the Director of Operations.
Key Responsibilities:
Volunteer Program Management (75%)
- Recruit and onboard with orientation.
- Secure a team of clinical and non-clinical volunteers.
- Develop volunteer orientation materials and maintain policies and procedures.
- Schedule volunteers and align their skills with the needs of the clinic and pharmacy.
- Manage the process of Sovereign Immunity for each licensed healthcare provider, under the supervision of the Florida Department of Health Volunteer Services 766 Program.
- Maintain accurate volunteer records, track hours, and generate reports.
- Organize volunteer appreciation initiatives and events.
- Serve as a liaison between volunteers and VBA leadership to foster a positive and collaborative environment
Emergency Preparedness & Response (25%)
- Lead the implementation and annual review of VBA’s Emergency Operations Plan.
- Plan and conduct training sessions and drills for staff and volunteers.
- Oversee emergency supply inventory and ensure operational readiness of emergency equipment (e.g., generator).
- Assist in mobilizing volunteer response and supporting facility operations during disasters or declared emergencies.
- Work in coordination with VBA Leadership, as the Mobile Medical Clinic will be deployed during disasters to ensure safe and effective services at designated sites..
Qualifications & Requirements:
Education & Experience:
- Associate or bachelor’s degree in public health, Emergency Management, Nonprofit Management, or related field preferred.
- Minimum of 3–5 years of relevant experience in volunteer coordination, nonprofit operations, or emergency preparedness.
- Healthcare or public health experience is a plus.
Knowledge, Skills, and Abilities:
- Excellent interpersonal, communication, and organizational skills.
- Ability to recruit, motivate, and retain volunteers.
- Knowledge of emergency preparedness protocols.
- Strong attention to detail, especially in documentation and compliance tracking.
- Comfortable working independently and collaboratively in a team setting.
- Maintain proficiency in Microsoft Office, Excel and Volunteer Management Systems. (e.g., Bloomerang).
Preferred Certifications (or required within 6 months of hire):
- CPR/First Aid Certification
Working Conditions:
- Office environment with as-needed outreach presentations and emergency event support.
- Flexible part-time schedule between 25 hours per week; some evening/weekend hours may be required.
- Must be able to lift up to 25 pounds occasionally for event or emergency supply setup.
